Summer Camps/Programs Background Check Process

Prior to moving forward with the background check process, please ensure that your program or camp has been approved by the Pre-Collegiate / Youth Programs Office. Background checks will not be initiated without approval for from the Pre-Collegiate / Youth Programs Office.

Important Reminders
- Camp must have their provisional approval from the Pre-Collegiate / Youth Programs Office prior to requesting background checks.
- Background check approval by Human Resources must be received before offers of employment/volunteer service and before employee/volunteer can begin their assignment.
- Summer Camp Background Checks can only be conducted within 60 days of Summer Camp employment.
- All required paperwork and spreadsheets must be submitted to Human Resources 90 days prior to the start of the Summer Camp/Program.
- Human Resources will review the spreadsheet and supporting documents prior to initiating any background checks.
Request Background Checks for your Summer Camp or Program:
You must provide and collect the completed forms from your camp personnel.
Camp Personnel Forms:
- Privacy Policy
- Clearinghouse Demographic Sheet
- Affidavit of Good Moral Character (Must be Notarized in Florida)
If candidate forms are not required for all camp personnel, Recruitment Services will notify you whether or not forms are needed for the specific person upon receipt of the camp background spreadsheet.
Each camp should only submit 1 Camp Personnel Packet that includes all of the completed required forms for each camp personnel.
Once all documents are collected from each person, you will need to submit all completed forms as one Camp Personnel packet directly to HR. Packets must be submitted in person to Human Resources. HR is located in Building 4, Room 114 – right across from Chick fil-a.
Camp Personnel Packet must be submitted a minimum of 70 days prior to the start of your summer camp or program.
Recruitment Services will review the submitted spreadsheet to determine the required action for each of your camp personnel (including volunteers).
After reviewing the spreadsheet, Recruitment Services will provide an update via email that includes information specific to your camp. It is important for you to review this email for any updates with required background checks or for any questions we may have.
Recruitment Services will begin initiating background checks 60 days prior to the start of your camp.
If all paperwork has not been received and verified prior to the initiation date, background checks will not be initiated for your camp.
Without approved background checks on file, your camp or program will not be authorized to take place.
Recruitment Services will provide the camp personnel that require background checks with information on how to complete their fingerprinting appointments.
